The challenge

Dispatch, invoicing and carrier communication lived in six different spreadsheets and a shared inbox. Every load meant re-typing the same details in several places, and every re-entry was a chance for a mistake. Coordinators spent hours each week keeping the sheets in sync instead of moving freight.

What we built

We mapped how a load moves from booking to payment and connected each step into one automated pipeline. Details are entered once. The system then creates the dispatch, generates the invoice and messages the carrier.

Anything that looks wrong or incomplete is flagged for a person to check before it goes any further.

What we delivered

  • One pipeline from booking to invoice, replacing six spreadsheets
  • Automatic carrier messages and confirmations
  • Invoice generation from dispatch data
  • Alerts for missing or inconsistent details
  • Monitoring, so failures are visible and can be replayed

The outcome

Around 30 hours a week of manual work is gone, and nothing is typed in twice. Coordinators work from one place.

Problems now show up as alerts straight away, instead of being discovered later when an invoice is disputed.
